Who You Are

The Front Desk Receptionist is responsible for answering and routing phone calls in a prompt, courteous, and professional manner and assisting patients.

What You'll Do

Responsibilities

  • Promptly and professionally answer telephone calls, routing calls appropriately and offering voice mail, paging, or redirection as needed.
  • Greet visitors with high energy, demonstrating excellent interpersonal skills and a positive attitude.
  • Assist patients in a professional manner, register first-time patients, verify demographics, and update patient management systems.
  • Scheduling new and follow-up appointments using NextGen and Phreesia Software.
  • Verify insurance details via Availity, insurance portal, or phone, and process payments including copays, deductibles, and co-insurance.
  • Utilize Phreesia Software to automate, communicate, and manage patient appointments.
  • Explain financial requirements to patients or responsible parties.
  • Scan fee slips, medical records, insurance cards, and IDs.
  • Handle insurance/PCP medical records requests.
  • Check voicemails, return follow-up calls, and distribute incoming faxes to appropriate departments.
  • Keep a running list of supplies to be ordered.
  • Constant communication with administrators, surgical coordinators, and billers.
  • End-of-day reconciliation and work on recall and missed call reports.
  • Follow up with weekly scheduled appointments.
  • Must be able to work in a team or independently.
  • Ensure the organization's values are upheld and follow policies and procedures.

What You Bring

Education, Experience, & Training:

  • High school diploma or general education degree (GED).
  • One to three years of related experience and/or training or equivalent combination of education and experience.
  • Bilingual in Spanish required.
  • Knowledge of medical terminology and organization services.
  • Knowledge of multi-line phone systems.

Computer Skills:

  • Excellent computer skills in a Microsoft Windows environment.
  • Proficient in Word Processing Software, including Microsoft Word.
  • Proficient in Spreadsheet Software, including Microsoft Excel.
  • Knowledge of Internet Software.

Physical Demands:

  • The employee must occasionally lift and/or move up to 10 pounds.
  • Regularly required to talk, hear, sit, use hands to finger, handle, or feel.
  • Frequently required to stand and reach with hands and arms.
  • Occasionally required to climb or balance.

Visual Demands:

  • Close visual acuity to perform activities such as preparing and analyzing data, transcribing, and viewing a computer terminal.

Work Environment:

  • Works in an environment with a moderate noise level, such as a business office with computers and printers.
