Who You Are

The Inception Company is seeking a Program Manager, Live Event Production to support our customers with the coordination and management of Audio Visual (A/V) equipment for their live and hybrid meetings.    The ideal candidate will have knowledge of A/V equipment, strong organizational and project management skills, and a customer service background.

What You'll Do

Responsibilities: 

  • Act as the primary point of contact for assigned customer account(s)  
  • Establish relationships with customers as a trusted partner for their AV needs 
  • Monitor, review, and book customer orders via The Inception Company’s proprietary online ordering portal 
  • Review customer orders for accuracy and/or update equipment based on program needs 
  • Send Request for Service to AV vendor(s) and negotiate equipment pricing to maintain desired profit margin 
  • Issue Purchase Orders to AV vendor(s) once vendor confirms availability 
  • Review order changes and/or additions with customer contact and ensure that AV vendor/technician is updated accordingly 
  • Generate daily/weekly reports for customers 
  • Source new vendor partnerships to establish and maintain an ongoing and reliable technician network 
  • Assist with confirmation and/or check-in calls to vendors 
  • Make confirmation calls to AV vendors on the day of the event to obtain technician information and confirm all program details 
  • Conduct check-in calls to the technicians on the night of the event to ensure on-time arrival and confirm all program details 
  • Call Pharmaceutical Sales Representatives 24-48 hours before the event to confirm all the program details 
  • Follow up on orders post-event to handle any issues or revise purchase orders based on equipment utilized at the event 
  • Ensure excellent customer service while answering calls from vendors, customers, and venues promptly  

 

What You Bring

Work experience/requirements: 

  • Ability to work independently and interact with business professionals at all levels. 
  • Exceptional communication skills, as well as strong sense of professionalism required. 
  • Intermediate knowledge of Microsoft Office (Word, PowerPoint, Excel) required. Advanced knowledge is preferred. 
  • Experience dealing with multiple platforms/OS (PC, MAC, iOS, Droid), web interfaces, sound, communication, and Internet connectivity issues. 
  • Experience with Mozilla Firefox, Internet Explorer, Safari, Chrome a plus. 
  • Ability to efficiently troubleshoot (i.e. calmly identifying issues, finding solutions) via phone or email. 
  • Previous customer service experience. 
  • Strict attention to detail to maintain quality control. 
  • Ability to continually learn and adapt to new and changing technology 
  • Good organizational and administrative skills 
  • Knowledge of Audio-Visual a plus 
  • Pharmaceutical industry experience a plus. 
  • Meeting planning experience a plus.
