Who You Are

The Ophthalmic Receptionist Lead is responsible for answering and routing phone calls in a prompt, courteous, and professional manner and assisting patients. This person will supervise other Receptionists. 

What You'll Do

  • Oversee and manage daily operations at the front desk, ensuring a smooth workflow for both patients and staff.
  • Serve as the point of contact for ophthalmic patient inquiries, offering guidance and resolving issues as needed.
  • Promptly and professionally answer telephone calls, direct them appropriately, and provide voicemail or paging options when necessary.
  • Greet and assist patients with a positive attitude, ensuring they are promptly registered, their demographics are verified, and their records are updated in the patient management system.
  • Schedule new and follow-up appointments utilizing NextGen and Phreesia Software, ensuring accuracy and timeliness in all appointments.
  • Verify insurance coverage and details through Availity, insurance portals, or phone, and process payments including co-pays, deductibles, and co-insurance.
  • Utilize Phreesia Software to automate communication and manage patient appointments effectively.
  • Explain financial requirements to patients and their families in a clear and professional manner.
  • Scan and maintain medical records, insurance cards, and ID documentation.
  • Handle requests for insurance and PCP medical records in compliance with regulations and protocols.
  • Ensure that voicemails are checked regularly and all follow-up calls are returned promptly. Distribute incoming faxes to the appropriate departments.
  • Track inventory and supplies for the reception area and maintain a running list for ordering.
  • Collaborate closely with ophthalmic surgeons, administrators, surgical coordinators, and billers to ensure all processes are running efficiently.
  • Assist in end-of-day reconciliation and contribute to recall and missed call reports.
  • Follow up with patients for their scheduled appointments, ensuring they have the necessary information.
  • Work independently or as part of a team to ensure excellent patient care and administrative efficiency.
  • Uphold the organization’s core values and adhere to policies and procedures.
