Who You Are

We are seeking an experienced and detail-oriented Contracts Administrator to manage and oversee the administration of contracts for the company. In this vital role, you will manage and oversee the legal and operational aspects of contracts, working closely with all departments to ensure they are managed in accordance with company policies, legal requirements, and best practices. You will also be responsible for maintaining accurate documentation and providing support in the negotiation and interpretation of contracts.

What You'll Do

  • Work with outside counsel to draft, review, and revise contracts, including lease agreements, purchase and sale agreements, deeds, financing documents, and service contracts.
  • Maintain records of contracts and related documentation, ensuring all contracts are stored securely and accessible when needed.
  • Conduct due diligence on property titles, zoning regulations, and environmental issues to flag potential risks before a deal closes.
  • Coordinate closings by preparing closing checklists, reviewing settlement statements, and ensuring all required documents are in place.
  • Monitor adherence to contractual terms and conditions, ensuring that obligations are met by all parties, and assist in resolving any issues or disputes.
  • Assist with filings and documentation to ensure the REIT complies with corporate governance requirements.
  • Manage lease abstracts, amendments, estoppel certificates, and tenant communications.
  • Prepare periodic reports summarizing contract statuses, milestones, and performance metrics for management and stakeholders.
  • Identify and mitigate risks related to contractual obligations, including potential legal or financial exposure.

What You Bring

Qualification and Required Skills/Abilities:

  • 5+ years of experience in contract administration or legal support
  • Strong understanding of real estate and corporate law
  • Experience with corporate governance, and compliance requirements.
  • Excellent organizational, communication, and interpersonal skills.
  • Attention to detail and the ability to manage multiple contracts simultaneously.
  • Proficiency in Microsoft Office Suite and contract management software
  • Ability to work independently and as part of a team, with a proactive and solutions-oriented mindset.
  • Strong organizational and time-management skills.
  • Proven ability to prioritize tasks, manage multiple deadlines, and adapt to changing priorities in a fast-paced environment.
  • Demonstrated integrity, professionalism, and a strong work ethic.

 

Education and Experience:

  • Bachelor’s degree in Business Administration, Law, or Real Estate is a plus
  • 5+ years of experience in contract administration or legal support with a paralegal certification
  • Specialized training in real estate transactions
  • Certification in Contract Management (e.g., CPCM, CCCM) or Certified Real Estate Paralegal (CRP) is a plus.
  • Experience in the Commercial/Industrial Real Estate industry
  • Familiarity with lease administration software (e.g., Yardi)
