With a strong reputation for excellence, we are seeking a proactive and detail-oriented Administrative Assistant to support our executive team and contribute to the daily operations of our dynamic Midtown Manhattan office.

Who You Are

The Administrative Assistant will serve as a vital member of our team, providing comprehensive administrative and organizational support to the firm’s Senior Principal and leadership team. This individual will act as the face and voice of our New York office, helping to maintain a welcoming and professional environment while ensuring seamless internal and external communication.

What You'll Do

  • Provide direct administrative support to the Senior Principal and executive leadership team.
  • Serve as the first point of contact for visitors and callers, managing front desk responsibilities with professionalism and courtesy.
  • Coordinate and maintain calendars, schedule meetings, and arrange internal and external appointments.
  • Organize and maintain physical and digital filing systems, ensuring efficient document management.
  • Manage inventory and procurement of office supplies, materials, and equipment.
  • Assist with the preparation of presentation materials for business development and client meetings.
  • Support internal communications and contribute to the planning and execution of company-wide events.
  • Coordinate travel arrangements, reservations, and logistics for business trips and firm events.
  • Handle outgoing mail and manage courier, shipping, and delivery services.
  • Provide cross-functional administrative support to other departments as needed.

What You Bring

  • Bachelor's degree (BA/BS) required.
  • 1–3 years of professional experience in an administrative, front desk, or office support role; prior experience in the architecture, design, or related professional services industry is a plus.
  • Exceptional verbal and written communication skills.
  • Highly organized and detail-oriented, with strong time management and multitasking abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with Adobe Creative Suite and project management tools is a plus.
  • Demonstrated professionalism, discretion, and ability to handle sensitive information.
  • Positive, collaborative, and team-oriented attitude with a proactive approach to problem-solving.
