MSP is a 501(c)(3) nonprofit organization, responding to domestic violence and human trafficking in Westchester County, New York, by providing multi-lingual, trauma-informed legal and supportive services. We bolster our work with clients by engaging in extensive outreach and community education, strengthening the systemic response to all forms of gender-based violence.

Who You Are

Join a dynamic, mission-driven team of passionate advocates working to transform lives and end domestic violence and human trafficking. As a Development Operations Associate and key member of the Development Team at My Sisters’ Place (MSP), you’ll play an essential role in advancing our fundraising and external communications efforts.

 

Your responsibilities will include managing our CRM database, overseeing the in-kind donations program, conducting donor prospect research, and supporting special events and administrative initiatives. Your work will directly support MSP’s mission and help amplify our impact in the community.

 

LOCATION: This opportunity is based in Westchester County, New York

What You'll Do

Database Management, Gift Processing and Acknowledgments

  • Maintain and manage donor database (Bloomerang), ensuring accuracy and data integrity.
  • Enter and update constituent information, donations, pledges, and actions in a timely manner.
  • Create queries, reports, and mailing lists for fundraising appeals, events, and stewardship as requested and scheduled reporting (i.e. monthly reconciliation).
  • Process all incoming donations (checks, online gifts, recurring gifts, etc.).
  • Generate and send timely donor acknowledgments and tax receipts within a timely manner.
  • Track matching gifts and pledges. Send pledge reminders as needed.
  • Provide donor and staff support with giving platforms, event software, and peer-to-peer fundraising tools.
  • Reconcile finances with appropriate finance staff.

Reporting and Analytics

  • Create regular fundraising and campaign reports for internal use and board meetings.
  • Assist with donor segmentation and prospect research for targeted outreach.
  • Monitor donor retention, giving trends, and key fundraising metrics. Track ROI.

Administrative Support

  • Maintain electronic and paper donor files in accordance with organizational policies.
  • Respond to donor inquiries by phone and email in a timely and professional manner.
  • Provide support for special projects as needed.

Special Events Support

  • Assist with planning and execution of fundraising events, including guest list management and organizing event materials.
  • Coordinate post-event follow-up including donor acknowledgments, event data entry, auction follow up and analytics reports.
  • Track event sponsorships, pledges, and in-kind contributions.
  • Manage onsite registration and support volunteers.

Foundation & Individual Prospecting

  • Work closely with the Grants & Foundations Manager to conduct research on individual donors, foundations, and corporations.
  • Create and maintain prospect profiles and research briefs for meetings and solicitations.
  • Identify new prospective funders through wealth screening and donor behavior analysis.
  • Track cultivation and solicitation progress in CRM or prospect management tools.

Development Operations

  • Coordinate with Finance Team to ensure accurate gift reconciliation.
  • Assist with the execution of donor stewardship strategies including thank-you calls, anniversary touches, and impact updates.
  • In partnership with the Donor and Community Engagement Coordinator, implement strategies that increase donor satisfaction and engagement, and assist with volunteer coordination and activities as needed.
  • Represent MSP at community events around Westchester and virtually (occasional weekend and evening hours required).
  • Oversee MSP’s in-kind donation program: work with donors on the scheduling of item drop-offs, manage the organization and accessibility of items in the office’s in-kind room, coordinate with colleagues in other MSP locations on their in-kind needs.
  • Maintain internal inventory of marketing and promotional materials and office supplies.
  • Manage departmental meetings and assistance in scheduling meetings as needed. Take notes as needed.
  • Other tasks as assigned by Supervisor and Development Team members.

What You Bring

  • Bachelor’s degree
  • At least 2+ years of experience in administrative support and customer service 
  • Superb interpersonal, speaking, and writing skills
  • High-level of competency with Microsoft Office Suite as well as web-based data management and research tools (Required)
  • Proficient in database management
  • Availability on occasional weekends and evenings ( if needed for company events)
  • Ability to help physically manage event set-ups and clean-ups
  • Experience in a nonprofit setting 
  • Spanish proficiency a plus

You recognize that clients come to MSP while navigating different structural and social injustices that affect their experiences of survivorship. You also understand that this work requires an ongoing commitment to developing the language and tools we need to undo institutional oppression.

 

You are flexible and work well as part of a team and independently. You have excellent time management skills and a demonstrated ability to multi-task. You are accountable to doing what you say you are going to do.

 

This position will report to the Director of Development.

 

TEAM OVERVIEW: MSP’s Development Department supports the agency through resource development, fundraising, external and internal communications, community engagement and volunteer management. Working closely with our colleagues in the program and legal departments, who provide a holistic range of supports for families experiencing domestic violence and human trafficking, the Development Team furthers MSP’s mission in accordance with our guiding principles.
