Who You Are

The Contract Specialist reports to the Dikita Vice President of Engineering and the Client’s Project Delivery Contracts Manager and is responsible for the administrative processing of new contracts, handling, logging, storage, and distribution of work authorizations, contract modifications, invoices, and contract closeouts. The Contract Specialist is also responsible for document control and data entry into the Program Management software PMWeb, contract management software Agiloft, Document Management software Peoplesoft, and ERP software Workday.

What You'll Do

  • Coordinate with multiple stakeholders in various departments and consulting firms.
  • Assemble and process final contract documents.
  • Obtain approvals and expedite the execution of contract documents.
  • Prepare and process Notice to Proceed materials.
  • Maintain list of soon-to-expire contracts.
  • Process Supplemental Agreements/Change Orders.
  • Prepare and process consultant closeout agreements or certificates of completion.
  • Maintain a document control and filing system that shall govern the distribution, and file copies of all contract documents.
  • Assist as needed to ensure the smooth operation of the Contract/Administrative Support Group
  • Occasionally serve as a backup to review and process consultants’ requests for payment.
  • Recommend and prepare updates to the Client’s Quality Management System (QMS) manual and other Client policies and procedures.
  • Ensure compliance of the QMS policies and procedures for contractors and consultants under contract to the Client’s Project Delivery Department.
  • Perform other duties as assigned.

What You Bring

  • Associate's Degree in Business Administration preferred.
  • 5+ years of experience in Contract Administration in construction management preferred.
  • Must be analytical.
  • Must possess exceptional oral and written communication and interpersonal skills.
  • Must have a working knowledge of contracts.
  • Expert proficiency in Microsoft Office – Windows, Excel, MS Word, & PowerPoint.
  • Excellent organization, prioritization, and time management skills.
  • Excellent tracking and follow-up.
  • Ability to quickly learn web-based software applications.
