The Receptionist serves as the primary ambassador for Mubadala Capital’s New York hub and sits at the helm of daily office operations. In this role, you will champion a premier workplace experience, delivering white-glove hospitality to external guests and seamless support to our internal community. Working closely alongside the Office Manager and Housekeeper, you will take full ownership of office flow, presentation, and culture-building operations. We are looking for a collaborative, hands-on professional who embraces a "no job is too small" mindset— someone who can pivot effortlessly between greeting high-profile clients, organizing dynamic spaces, and coordinating weekly catering and office logistics. This is a fully in office position based in Midtown Manhattan. The required schedule is Monday through Thursday, 8:00 a.m. to 5:30 p.m., and Friday, 9:00 a.m. to 2:00 p.m.
Workplace Experience & Hospitality
• Serve as the warm, professional primary point of contact for Mubadala Capital, welcoming clients, VIPs, and external guests with white-glove hospitality.
• Ensure a pristine physical environment, maintaining immaculate presentation, organization, and cleanliness across the reception area, conference rooms, pantries, and common areas.
• Partner with the Office Manager and Housekeeper to maintain high-touch visual standards and operational readiness throughout the day.
Office Operations & Logistics
• In partnership with the Office Manager, own the end-to-end lifecycle of weekly catering orders—from ideation and menu selection to delivery management and seamless set-up.
• Plan and manage weekly office deliveries, inventory tracking, unboxing, and systematic storage.
• Actively follow established operational workflows while collaborating with the Office Manager to optimize and introduce new systems.
• Manage mail intake, distribution, and package processing.
Administration & Special Projects
• Support office communications and maintain clear, pristine standards in all correspondence.
• Facilitate general administrative duties and support special projects, ad hoc office initiatives, and team events from conception to execution.
• Handle sensitive information with utmost discretion, upholding the firm's standards for privacy and confidentiality.
• Experience: 3+ years of experience in a community-centric environment, ideally spanning hospitality, luxury retail, high-end guest relations, reservation management,
event planning, or corporate reception.
• Interpersonal & Communication Skills: Exceptional verbal and written communication skills with a polished, professional presence and a community-first orientation.
• Organizational Mastery: Impeccable attention to detail, proactive problem-solving abilities, and the capacity to manage multiple moving parts with calm poise.
• Attitude & Approach: A collaborative team player with a high degree of initiative, adaptability, and an enthusiastic "no job is too small" attitude.
• Technical Acumen: Proficient in standard office software (Microsoft Office Suite) with a quick learning curve for internal digital tools.
